What is retrieval readiness?

Retrieval readiness means business information is prepared so AI can find relevant, current, authorized, and traceable evidence for a specific question. It includes records, metadata, indexing, permissions, citations, version control, evaluation, and monitoring.

Retrieval-augmented generation is a pattern where a system searches approved information sources, supplies relevant context to a language model, and asks the model to answer using that evidence.

Do we need a vector database?

Not always. Some workflows are better served by structured queries, exact search, existing enterprise search, or hybrid retrieval. The technology should follow the business questions and data types.

Is semantic search the same as AI retrieval?

Semantic search is one method. A complete business retrieval system may also require structured filters, permissions, source authority, version control, reranking, and citations.

Can we connect SharePoint, Google Drive, Dropbox, or another document system?

Potentially. The access method depends on APIs, permissions, platform terms, client authorization, document volume, and security requirements.

Can retrieval work with browser-only portals?

Authorized information may sometimes be collected through approved exports, notifications, browser workflows, or supervised computer-use processes. The permitted method must be reviewed for each platform.

Can AI search scanned PDFs?

Scanned PDFs normally require OCR or another extraction process. Quality should be checked for tables, poor scans, handwriting, technical notation, and multi-column layouts.

How should drawings be handled?

Drawings may require metadata, sheet IDs, revisions, project relationships, image processing, and specialized extraction. Text retrieval alone may not capture visual or spatial meaning.

How should spreadsheets be indexed?

Spreadsheets should not automatically become anonymous text. Important sheets, columns, units, headers, relationships, formulas, dates, and source context may need separate preservation.

What is document chunking?

Chunking divides large documents into smaller searchable passages. Useful passages remain connected to headings, pages, clauses, tables, source documents, versions, and permissions.

How large should each chunk be?

There is no universal size. The design depends on document structure, question types, model limits, retrieval method, and evaluation results.

Embeddings are numerical representations that can help compare semantic similarity. They do not independently provide authority, permissions, version control, or business correctness.

What is hybrid search?

Hybrid search combines exact keyword matching with semantic retrieval. It can help when a query contains both a precise identifier and a broader concept.

Can retrieval reduce token costs?

It may reduce unnecessary context by selecting relevant evidence instead of repeatedly sending complete folders. Actual savings depend on architecture, models, query volume, indexing, ranking, and monitoring.

Will RAG stop AI hallucinations?

No. It can improve grounding, but models may still misunderstand evidence, omit qualifications, or make unsupported claims. Citations, evaluation, uncertainty rules, and human review remain necessary.

How are permissions preserved?

The retrieval layer should identify the user and apply source, record, project, role, or field-level rules before selected content is supplied to the model.

Should AI be able to search every company document?

No. Sources should be included only for an authorized purpose, defined audience, suitable security, and clear business use.

What happens when sources conflict?

The system should apply documented source-authority rules or route the conflict for human review. It should not silently choose the most convenient passage.

How are citations generated?

A retrieved passage retains its document ID, title, page, section, revision, source link, and related record so the answer can reference that evidence.

Can employees open the original source?

Where permissions allow, citations should link to the original document, record, page, or controlled copy.

What if the source does not support the answer?

The system should state that evidence is insufficient, ask for clarification, or route the question for review.

Can we use several AI providers?

Yes. Retrieval and data layers can remain independent from one model provider. Model choice can depend on privacy, quality, cost, latency, tools, and client policy.

Can retrieval run locally?

Some components may run locally, on a private server, in a client cloud, or through a hybrid design. Architecture depends on volume, security, systems, models, and support capacity.

How do we test retrieval?

Create representative business questions with expected sources, filters, permissions, and acceptable answers. Include difficult, conflicting, restricted, and unanswerable cases.

Who should approve retrieval results?

Routine low-risk search may not need individual approval. Contractual, financial, legal, safety, clinical, employment, customer-commitment, or external conclusions normally require accountable review.

How often should the index be updated?

Frequency should reflect source change. Some records need near-real-time synchronization, while historical archives may update less often.

What happens when a document is updated?

The new version should be processed, connected to the document family, given its effective state, and reindexed. Superseded versions can remain for history but should not control current answers.

Can another provider maintain the system?

Yes. The client should receive documentation for sources, schemas, metadata, permissions, retrieval logic, evaluation sets, monitoring, and operating procedures.

Do we need to upload confidential files during the assessment?

No. The initial assessment should describe systems, document types, volumes, restrictions, and workflow requirements. Sensitive samples require an agreed secure process.

What should we do first?

Choose a high-value set of questions employees spend time researching. Then identify the sources, relationships, permissions, versions, and evidence needed to answer them reliably.
